It is part of Microsoft's Power Platform and integrates closely with Excel, Azure data services, and Dataverse, letting business users and analysts model data, create visualizations, and share reports across an organization without needing a separate business intelligence server for basic use cases.
Overview
Power BI addresses the common gap between raw data sitting in spreadsheets or databases and the visual reports decision-makers actually need. Before self-service BI tools became widespread, building an interactive dashboard often required IT or data teams to build custom reporting infrastructure; Power BI instead lets an analyst connect directly to a data source, build a data model, and publish an interactive report without writing a full application. Mechanically, Power BI has three main pieces: Power BI Desktop, a Windows application for building data models and reports; the Power BI Service, a cloud platform for sharing and collaborating on published reports; and Power Query, an underlying data-transformation engine (also used in Excel) for cleaning and reshaping source data before it's loaded into a model. Once data is loaded, Power BI uses DAX (Data Analysis Expressions), a formula language similar in spirit to Excel formulas but designed for working across whole tables and relationships, to define calculated measures like running totals or year-over-year growth. Its in-memory columnar storage engine, related to the same technology family as SQL Server Analysis Services, allows fast aggregation over large datasets without needing every query to hit the original source system. Among business intelligence tools, Power BI competes most directly with Tableau and Looker; its main differentiators are tight bundling with Microsoft 365 and Azure (many organizations already have Power BI licensing included in their Microsoft 365 subscription) and a lower cost of entry for individual users, whereas Tableau has historically been seen as offering more visualization flexibility and Looker as more tightly modeled around a governed semantic layer. Power BI sits alongside, rather than replacing, Excel — many analysts move between the two depending on whether they need a static ad hoc analysis or a shareable interactive dashboard. In practice, organizations use Power BI to build operational dashboards for sales, finance, and marketing teams, embed reports into other applications through APIs, and connect to a wide range of data sources including SQL databases, Excel files, Salesforce, and Google Analytics via built-in connectors. Enterprise deployments typically use Power BI Premium capacity to support larger datasets and more frequent data refreshes than the shared-capacity free tier allows. Limitations include a learning curve for DAX and proper data modeling that goes beyond what casual Excel users are used to, and very large or highly complex data models can require careful performance tuning. Power BI Desktop is also Windows-only, which can be a friction point for organizations with significant Mac-based analyst teams, though the cloud service itself is accessible from any browser.
